Configure Notification Settings

Notification settings let you control the default emails sent for appointments—ensuring clients and providers stay informed without extra manual work each time.

Use this section to manage how appointment notifications are configured. You can set defaults for new appointments, appointment reminders, and other notification types – or turn the notification system off entirely.

The Message Templates column lets you preview the email templates that will be sent to both clients and providers.

Important: Currently, CaseRM supports Email notifications only. Once SMS notifications are integrated, this article will be updated.

New Booking

  • Toggle Enabled on or off.
  • (Optional) Set a Notification delay of 1–5 minutes.
  • Toggle Enable by default: ON means notifications are automatically turned on for every new appointment; OFF lets you choose manually each time.

Reminder

  • Toggle Enabled on or off.
  • Add up to five reminders:

Choose the delivery timing (e.g., hours or days before the appointment).

Tip: Set common reminders here (like 48 hours and 1 hour before) to save time— you can always override them on individual appointments.

No-show

  • Toggle Enabled on or off.
  • (Optional) Set a Notification delay of 1–5 minutes.

Cancellation

No defaults to configure – when you cancel an appointment, the system will provide you with an option to send a notification. Use the Message Templates column to preview what gets sent.

Reschedule

  • Toggle Enabled on or off.
  • (Optional) Set a Notification delay of 1–5 minutes.

Tip: Start with the most useful notifications (new booking + one reminder) and adjust based on your team’s feedback.

Note: These are system-wide defaults; individual appointments can still have notifications turned on/off or customized as needed.

Nicely done! Well-tuned notifications reduce no-shows and keep communication smooth.
