Create and manage calendar sessions

Sessions are predefined time blocks used to schedule appointments in calendars. They can also include billing values by linking one or more billing items, which are managed under Products & Services in CaseRM’s Accounting module. Each session is assigned a professional discipline, which determines the calendars it can appear in.

To create or manage sessions, go to Calendar > Settings > Sessions.

Create a Session

  1. Click Add session.
  2. Tip: When applicable, toggle Enable for online booking and This is a video session to ON.

  3. Enter a Session Name.
  4. Tip: Use a short, descriptive name – ideally an abbreviation that is easy to recognize and clearly distinguishes it from other sessions.

  5. Enter a Session Description.
  6. Tip: This should be the full session name as you want it displayed to clients.

  7. Assign a Professional Discipline to the session.
  8. Select one or more Locations where the session will be available for scheduling.
  9. Choose a Color for the session and specify its Duration.
  10. Tip: The duration determines how much time will be reserved in the scheduler when appointments are booked with this session.

  11. Click Add billing item and select an item from the list.
  12. Tip: Assigned billing items will automatically be added as charges to the case file when the appointment is marked Arrived.

Note: Adding billing items is optional. For example, you can leave this blank for free consultations.

Edit a Session

  1. Hover over the session you want to edit and click Edit.
  2. Update the session details as needed.
  3. Click Save to apply your changes.

Delete session

Important: You can only delete sessions that have not been used for any bookings. If a session has been used in an active or archived appointment, the system will prevent its deletion.

  1. Hover over the session you want to remove and click Delete.
  2. In the confirmation prompt, click Confirm to finalize the deletion.

Archive and Unarchive a Session

Important: Archiving a session removes it from availability for new appointments. Existing appointments that were booked with the session remain unchanged.

To Archive a Session:

  1. Hover over the session you want to archive and click Archive.
  2. In the confirmation prompt, click Archive again to confirm.

To Unarchive a Session:

  1. Hover over the archived session and click Edit.
  2. In the bottom-left corner of the edit screen, click Unarchive.
