Create and Manage Calendar Shifts

Shifts define availability within calendars and are essential for scheduling appointments with providers, rooms, and equipment. They allow you to build weekly work schedules – either for a single week or across multiple weeks. To save time, you can copy an existing shift schedule to other calendars that share the same structure.

Before proceeding with the steps below, navigate to Calendar > Settings > Shifts to access the area where calendar shifts are managed.

Create a Shift

  1. Hover over a day cell in the calendar and click the plus (+) icon.
  2. Select Add Shift.
  3. Set the Shift Start and End Time.
  4. (Optional) Click Add break.
  5. – Update the break description.
    – Set the Break Start and End Time.
    Tip: You can add up to five breaks per shift.
  6. Click Does not repeat to configure repetition settings.
  7. In the Repeat shift prompt:
  8. – Select the days of the week the shift should repeat on.
    – Specify how many weeks the shift should repeat for.
    – Adjust the Repeat every N weeks option to skip weeks if needed.
    Tip: Setting Repeat every 1 week repeats the shift weekly. Higher values allow alternating or irregular week schedules.
  9. Click Continue.
  10. Click Save to create the shift.

Edit a Shift

  1. Hover over the cell that contains the existing shift.
  2. Click Options > Edit shift.
  3. Update the shift details as needed.
  4. Click Save to apply your changes.

Delete a Shift

  1. Hover over a cell that contains an existing shift.
  2. Click Options > Delete shift.
  3. To delete the shift for the selected date only, click Delete.
  4. Tip: To delete shifts across multiple days, select Range, choose the desired date range, and then click Delete.

Change Scheduler Hour Range

The scheduler hour range defines the start and end times displayed in the calendar view. You can adjust this setting at any time to better reflect your organization’s operating hours.

  1. In the top-right corner of the Calendar Shifts page, click Hour Range.
  2. In the Calendar Hour Range prompt, update the Start and End times.
  3. Click Save to apply the changes.
