Create and Manage Calendar Shifts

Shifts define availability within calendars and are essential for scheduling appointments with providers, rooms, and equipment. They allow you to build weekly work schedules – either for a single week or across multiple weeks. To save time, you can copy an existing shift schedule to other calendars that share the same structure.

Before proceeding with the steps below, navigate to Calendar > Settings > Shifts to access the area where calendar shifts are managed.

Create a Shift

Follow these steps to add availability to your calendar. Repeating shifts and copying them across calendars make setup quick for regular schedules.

  1. In the shifts grid, hover over a day cell and click the plus (+) icon.
  2. Select Add Shift.
  3. Set the Shift Start and End Time.
  4. (Optional) Add breaks:
    Tip: You can add up to five breaks per shift.
    • Click Add break.
    • Enter a description (e.g., “Lunch”).
    • Set the Break Start and End Time.
  5. Click Does not repeat to set up repetition.
  6. In the Repeat shift prompt:
    • Check the days of the week the shift should repeat on.
    • Specify how many weeks the shift should repeat for.
    • Adjust Repeat every N weeks for skips (e.g., every 2 weeks for alternating schedules).
      Tip: Use “Repeat every 1 week” for standard weekly repeats.
  7. Click Continue.
  8. (Optional) Copy to other calendars:
    • Start typing calendar names in the Add calendar box, or click all calendars to apply to every active calendar.
    • Tip: This creates the same shift on multiple calendars at once—perfect for team members with matching hours!
  9. Click Save. Your shift is now active and ready for bookings.

Edit a Shift

Need to adjust a shift’s times, breaks, or repetition? Editing is quick and updates apply immediately.

  1. In the shifts grid, hover over the cell containing the existing shift.
  2. Click Options > Edit shift.
  3. Update the details as needed – such as start/end times, breaks, or repetition settings.
  4. Click Save. Your changes are now live!

Tip: Editing a repeating shift will update all future instances in the pattern. Existing bookings remain unaffected.

Delete a Shift

If a shift is no longer needed—maybe a schedule change, time off or vacation, or temporary closure—you can remove it quickly. Deleting shifts won’t affect any appointments already booked in those time slots.

  1. In the shifts grid, hover over the cell that contains the existing shift.
  2. Click Options > Delete shift.
  3. To remove just that single instance: Click Delete.
  4. To remove multiple instances:
    • Select Range.
    • Choose the desired date range.
    • Click Delete.

Tip: Use the Range option when cleaning up recurring shifts over several weeks—it saves clicks!

Notes
– Existing appointments remain unchanged; only future availability is affected.
– You can always add a new shift later if needed.

Change Scheduler Hour Range

The scheduler hour range controls the start and end times shown in the calendar grid. Adjusting it lets you focus the view on your organization’s typical operating hours, making planning easier and cleaner.

  1. On the Calendar Shifts page, look to the top-right corner and click Hour Range.
  2. In the Calendar Hour Range prompt, update the Start and End times as needed.
  3. Click Save.

Your calendar grid now reflects the new range!

Tip: Set this to your standard business hours (e.g., 8:00 AM to 6:00 PM) to hide early/late slots that aren’t used – it keeps the view tidy without affecting actual shift availability.

Note: This only changes the display; shifts outside the range are still active and bookable – they just won’t show in the grid until you expand the range.
