Grant and Revoke Access to Case Files

CaseRM makes it easy to control which users can access a client’s case file. By default, case file access is available to users with Director, Manager, or Office Admin roles. Providers do not have access unless access is granted to them.

Provider access can be provided in two ways:

  • Automatically — when an appointment is scheduled in the provider’s calendar.
  • Manually — by granting access directly from the case file.

This article explains how to manually grant or revoke access to a case file.

Note: Users with Office Admin or Provider roles have limited access to case files and do not have full permissions.

Grant Access to a Case File

To give a provider access to a specific case file:

  1. Go to Case Files.
  2. Select the case file you want to manage.
  3. Click Access options.
  4. Select Grant access.
  5. Select the provider you want to give access to, then click Save.
  6. Click Done to return to the case file.

The selected provider can now access the case file based on the permissions available to their role.

Revoke Access to a Case File

If a provider no longer needs access, you can remove their access at any time:

  1. Go to Case Files.
  2. Select the case file.
  3. Click Access options.
  4. Hover over the provider’s name and click Revoke access.
  5. Click Save, then click Done to return to the case file.
